Summary The File Clerk provides filing, record management, scanning, customer service, and is committed to meeting the Mission, Vision, and Values of VATVCBHCS. Responsibilities Scanning The File Clerk is responsible for insuring record are checked in and refilled correctly on the shelves the same day and retrieval of records from Reception Desk and all clinical areas. File Clerk also scans appropriate documents from any point of entry to include but not limited to fax, mail, HSRM Portal, Vista Capture, etc. into VISTA/CPRS within 48 hours of date of receipt. Places scanned documents in VISTA/CPRS under the correct patient, note title, and author. File Clerk performs daily Quality Checks while scanning in images to ensure proper scanning. Reviews all incoming medical documentation scanning thoroughly to make sure that they are captured into appropriate consult insuring the consult is closed out. Completed the scanning of all materials from providers to VISTA/CPRS on a timely basis and enters all incoming scanning volume received on HIMS Scanning Spreadsheet. File Room Duties The clerk is responsible for checking records for appointment longer than 3 years and deceased records. Process VA form 90-2237 upon receipt of accession number from Record Center and Vault. Number boxes with the accession number. Place the boxes on pallets and request shipping instructions from Logistics at the VA Texas Valley Coastal Bend Health Care System. Team work & Privacy guidelines - Establishes and promotes effective working relationships within the Clinic and other sections, services, units and HIMS. File Clerk meets ongoing challenge of the changing VA Culture in a spirit and attitude of flexibility and adaptability.' Safeguards the patient's right to Privacy by judiciously protecting information of a confidential nature. Protects all information from unauthorized release, alteration, loss, and deletion and complies with security policies regarding access to computerized and paper files. Requirements Conditions of Employment Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/07/2021. You may qualify based on your experience and/or education as described below: General Experience: You must have one year of general experience. Examples of general experience would typically include, but are not limited to: knowledge of multiple systems and current computer technology regarding imaging and scanning applications and numerous VistA applications including Vista menu options and CPRS list manager and GUI Software, knowledge of basic medical terminology, knowledge of medical record file systems, procedures, record retention, and procedure relating to the transfer and other disposition of hard copy records, knowledge of health information management policies and procedures and Joint Commission Standards, and VA standards regarding requirements for outpatient medical records, basic knowledge of regulations governing the release of information, knowledge of the flow of health information and the retrieval of health information both within its section and throughout the outpatient facilities. Note: General experience is defined as progressively responsible clerical, office, or other work that indicates ability to acquire the knowledge and skills needed to perform the duties of the position to be filled. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years above high school. (Associates Degree) OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school. You will be rated on the following Competencies for this position: Administration and ManagementClericalDatabase Management Systems Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site.
