Education: Required - High School Diploma, or, equivalent
Preferred - 2 year associate's degree from accredited program/institution, or two or more years of college-level course work.
Experience: Required - 2 plus years related experience and/or training
Preferred - 4 plus years related experience and/or training
Supervises: To Be Determined
Summary: The Administrative Assistant IV applies advanced analytical skills to gather and summarize data for reports, find solutions to administrative problems and prioritize work while attending to detail in composing, typing, coordinating the purchasing system, proofing materials, establishing priorities and managing deadlines.
To successfully perform this job, the employee may be expected to perform the following, with or without reasonable accommodations in accordance with the Americans with Disabilities Act of 1990:
Essential Functions:
1.Draft general correspondence, memos, charts, etc. and proof final copies for clarity, spelling, grammar and layout.
2.Collect and maintain and retrieve data from files as needed.
3.Maintain and distribute daily census reports for service population.
4.Verify and communicate information from Office of Refugee Resettlement regarding service
Approved (ADA) Rev. 3/10/2020
population intake and arrival schedule.
5.Meet all pre-determined deadlines required by program and federal partners.
6.Communicate effectively in writing and verbally in English and Spanish
Measurable Deliverables:
1.Meet all federal and state regulatory guidelines and standards that are applicable to this position.
2.Ensure proper National School Lunch Program data is collected and communicated to the National School Lunch Program Director in a timely manner.
3.Accurately maintain employee monthly monitoring accountability reports.
4.Submit timely and accurate Discharge Data and Detail Release reports.
5.Process requisitions and purchase orders on a timely basis and using agency systems created for this purpose.
6.Submit variance requests on a child's length of stay to State licensing.
7.Communicate effectively and professionally by phone or face-to-face with agency staff, vendors, community members and regulatory and contract staff.
8.Participate in scheduled meetings and team decisions and operations.
9.Work evenings, weekends and holidays as needed or requested by supervisor.
10.Implement BCFS safety protocols including evacuating with children and other staff in case of an emergency.
11.Maintain confidentiality in all areas of the service population and program operations.
12.Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code at all times.
Credentials, Skills and Abilities:
1.Maintain current licenses and certificates required for the position including but notlimited to:

2.Pass a pre-employment drug screen and random drug screens throughout employment.
3.Provide proof of work eligibility status upon request.
4.Pass a pre-employment and biennial criminal background checks.
5.Demonstrate the ability to:
a. Respond sensitively and competently to the service population's cultural and socio-economic characteristics
b. Work collaboratively with other staff members, service providers and professionals
c. Communicate effectively in writing and verbally in English (and Spanish strongly preferred)
d. Work in a fast paced environment and maintain control and professional composure at all times
e. Maintain computer literacy required to meet the responsibilities of the position
f. Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team
6.Demonstrative a working knowledge of all Residential Services policies and procedures
